Coya: Multi-Tenant SaaS Platform for Smart Coworking Spaces
A booking platform connecting coworking clients, space operators and physical infrastructure across Scandinavia, from discovery and payment to unlocking the door.
- 7 third-party integrations
- 2 mobile platforms, one codebase
- 4+ years in production
The Client
A Scandinavian proptech company. It turns vacant retail units and empty office rooms into soundproof coworking pods, bookable on demand.
Each pod is a self-contained workspace with ergonomic furniture, climate control and a screen for video calls.
Three groups use the platform. Members book and pay in the app. Property companies earn from vacant space. Administrators oversee it all.
The Challenge
One platform had to carry the whole booking: find a space, pay, open the door, get on the WiFi.
All of it runs through a mobile app and a web dashboard.
- Many tenants, one platform. Property companies run their own locations, bookings and revenue on shared infrastructure.
- Physical access. Each booking must grant and revoke smart-lock and WiFi access in real time.
- Flexible payments. Cards, prepaid voucher hours and location passes, with configurable revenue sharing.
- One app, two platforms. iOS and Android, with map-based discovery, live booking and QR-code door unlock.
- An admin dashboard. Full platform management, with custom components for calendars, maps, opening hours and networks.
What We Built
Backend: Laravel API Platform
One Laravel API serves both the mobile app and the property companies' dashboard.
- Layered architecture. Each request passes through fixed layers, so validation, business logic, data access and responses never mix.
- Event-driven integrations. A booking change fires one event. Payment, door access and WiFi react to it independently.
- Payment orchestration. Cards, voucher hours and location passes run through one pipeline, with revenue split between platform and property companies.
- API versioning. Four versions run in parallel, so breaking changes roll out in stages and installed apps keep working.
- Admin panel. Custom fields where nothing off the shelf fitted: a map address picker, a calendar, an opening-hours editor, network management.
Seven Major Integrations
Smart Locks
Physical door access granted for each booking and revoked when it ends.
WiFi Management
A network provisioned for each booking and removed when it ends.
Payments
Card payments, refunds and revenue splits.
Real-Time Updates
Booking status pushed to the app over WebSocket.
SMS
Verification codes and booking notifications.
Email Delivery
Transactional email with bounce and complaint handling.
QR Codes
Doors unlocked by scanning a code at the pod.
Mobile App: iOS + Android
A cross-platform app built with Ionic and Capacitor, live on both the App Store and Google Play.
It carries the whole booking: find a space on the map, book and pay, then scan the code to open the door.
Technical Highlights
-
01
Event-driven integrations
One booking event fans out to payment, door access and WiFi independently. Adding an integration means adding a listener.
-
02
Pipe-and-filter payments
Card, voucher hours and location passes each get their own class. Adding a payment method is one new class.
-
03
Full hardware lifecycle
A booking grants door access and WiFi, and completion revokes both. Two hardware vendors sit behind one booking lifecycle.
-
04
Four API versions in parallel
Breaking changes roll out in stages, so apps already installed in the field keep working.
-
05
Sixty admin resources
An operations surface for the team that runs the business, with custom fields where nothing off the shelf fitted.
-
06
A tested core
201 tests across 92 files, running in CI.
-
07
One team end to end
Backend, admin, integrations, queues and CI, all built and maintained by our team.

In the Client’s Words
“Ihor quickly understands what needs to be done, makes sound decisions along the way, and can be trusted to carry a task from problem to solution with very little guidance. I continue to work with Ihor and value having someone this skilled, dependable and self-driven to rely on.”
